We want to process as little personal information as possible when you use our website.
When you visit our website, we use privacy-friendly website analytics software, which doesn't use cookies and complies with the GDPR, ePrivacy (including PECR), COPPA and CCPA. Your IP address is only briefly processed, and we (running this website) have no way of identifying you. As per the CCPA, your personal information is de-identified. The purpose is to understand our website traffic in the most privacy-friendly way possible to continually improve our website and business. The lawful basis is f) legitimate interests. As per the explanation, no personal data is stored over time.

To enable you to use our service, we need to process some data that is personal, like your IP-address, your email address, your name and business name. Processing this data is necessary to provide the service and related technical support, in order to enter into, and to take steps prior to enter into a contract. It is voluntary to provide us with personal data, but we cannot provide you with our services if you choose not to.
When you log in to our website or create an account, to get access, you need to share your email address, name, business, and set a password, and enter your payment card details (if purchasing a product or plan). The purpose of this processing is to fulfil our obligation to deliver the services you have purchased and manage the customer relationship. The lawful basis is b) contract and c) legal obligation related to accounting, tax and other business laws we must abide by.
We use the data we collect to communicate with you, provide you with the service and support, and to help us improve the service we provide you.
We use your personally identifiable information for the following purposes:
- To provide the features and functionality of the service
- To respond to customer service requests, send you communications regarding the service, updates and related product or service information, to process payments, and other administrative purposes
- To provide you with information about products and services offered by us, including new features on our service or site
If you create a HASpod account, we use your email address to create your account, for security so you can reset your password, and to contact you about the service and for support. We use your name for your results and records, and if you are on a team plan, so other people in your team can identify you.
We will use your contact details to send you requested information and for improving our services. We may occassionally contact you with updates relating to the service, information or regulations, these updates are carried out for a legitimate interest. You may choose to stop receiving email communications from us by following the unsubscribe instructions included in these updates. If you have an active HASpod account, we do need to send you certain communications regarding the service and you will not be able to opt out - e.g. communications regarding account access, account activity, billings etc.
The security of your personally identifiable information is important to us. We won't sell, trade, or rent your personal data. Your data is yours, and we will only use it to provide you with the service. By using our service, you are entering into a contract with us, and agree to our privacy policy.
We process the data for as long as you are a customer and are required by law to store business records, including personal data, for as long as someone is a customer and then for at least six years for accounting and bookkeeping purposes.
To run our business we sometimes will have to share your personal data with other (trusted) parties for essential functionality. In some cases, your personal data will be transferred outside the EU/EEA. We will only use data suppliers to process your personal data when required (e.g. for payment processing). We use data processors we trust that are well known, reputable, and have a data processing agreement/addendum. These companies are authorised to use your personally identifiable information only as necessary to provide these services to us or to comply with applicable legal requirements.
We use data processors for:
- Online payments
- Transactional emails to customers
- Support ticket system
We keep this information minimal and for essential business purposes only (e.g. if we didn't take payments, our service would not function).
All of our online payment methods are processed with bank grade security and industry standard encryption, we do not store or retain financial information once a transaction has been processed. Payments are processed by Stripe Payments Europe or PayPal (Europe). We do not handle your payment data and only use the last 4 digits of your card number for reference purposes.
A cookie is a small text file that is written to your temporary internet files folder or browser cache which logs your session when you log in and use the service. We need to use essential cookies for security reasons in order to validate an individual user session, to provide the service and support.
We do not rent or sell any personally identifying information to other companies or individuals. We restrict access to your personally identifying information to our staff and for the processing of our service only, in order to operate, develop or improve our service.
We will enable you to delete your data in a manner consistent with the functionality of the service. As the data we collect is necessary to provide the service and access to your account, removal of this data (including your email address and name) will require you to delete your HASpod account. This can be done from your account settings and is irreversible.
